TEP Corporate Services Ltd (TEP, we, us, or our) is a corporate services and regulatory compliance firm with its registered office at Abuja, Nigeria. TEP is the Data Controller for personal data collected through our website (www.tepcorporateservices.com) and in connection with the professional services we provide. We are committed to protecting the privacy of all individuals whose personal data we process, in full compliance with the Nigeria Data Protection Act 2023 (NDPA 2023) and the NDPC General Application and Implementation Directive 2025 (GAID 2025).

2. Personal Data We Collect

2.1 Data Collected Directly from You

Identity Data: Full name, title, and date of birth (where required for incorporation or immigration services).

  • Contact Data: Email address, telephone number, business address, and residential address.
  • Business Data: Company name, RC number, business activity, director/shareholder details, and corporate documents.
  • Immigration Data: Passport details, national identity number (NIN), immigration status, work permit details, police clearance, and medical certificates — collected where required for immigration service instructions.
  • Financial Data: Payment details necessary for invoicing and fee collection.
  • Communications Data: Records of email, WhatsApp, and telephone communications between you and TEP in connection with your instructions or enquiries.

2.2 Data Collected Through Our Website

  • Technical Data: IP address, browser type and version, device type, operating system, time zone, and the pages of our website you visit — collected through cookies and analytics tools.
  • Usage Data: Information about how you use our website, including pages visited, links clicked, and time spent on each page.
  • Enquiry Data: Information submitted through our website contact form, including your name, email address, phone number, and the content of your message.

4. How Long We Keep Your Data

  • Client engagement records: 7 years from the date of the last instruction
  • CAC and regulatory documents: 7 years from the date of filing or the relevant statutory limitation period, whichever is longer
  • Immigration documents: 7 years from the date of the relevant permit or application
  • Website enquiry data: 12 months from the date of receipt — unless the enquiry resulted in a client instruction, in which case the client engagement retention period applies
  • Website analytics data: 24 months from the date of collection

Where retention beyond these periods is required by applicable Nigerian law, we will retain data for the period mandated by that law.

5. Who We Share Your Data With

We do not sell your personal data. We share it only in the following circumstances:

  • Regulatory bodies: We share client data with the CAC, NIS, FIPO, NAFDAC, NITDA, SEC, CBN, FCCPC, NESREA, and other applicable regulatory bodies as required to deliver your service instruction.
  • Service providers: We may share data with carefully selected third-party service providers who assist us in operating our business, under Data Processing Agreements consistent with GAID 2025 requirements.
  • Law enforcement and regulators: We may disclose your data to law enforcement, regulatory authorities, or courts where required by applicable Nigerian law.

6. Your Rights Under the NDPA 2023

  • Right of access (s.35): You may request a copy of the personal data we hold about you.
  • Right to rectification (s.36): You may ask us to correct inaccurate or incomplete personal data.
  • Right to erasure (s.37): You may ask us to delete your personal data where we have no continuing legitimate reason to retain it.
  • Right to restrict processing (s.38): You may ask us to limit how we use your data in certain circumstances.
  • Right to data portability (s.39): You may request that we transfer your data to you or to another controller in a structured, commonly used format.
  • Right to object (s.40): You may object to our processing of your data on the basis of legitimate interests, including direct marketing.
  • Right to withdraw consent: Where processing is based on your consent, you may withdraw it at any time without affecting the lawfulness of processing before withdrawal.

7. Data Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, accidental loss, destruction, or alteration. In the event of a personal data breach likely to result in a risk to your rights and freedoms, we will notify the NDPC within 72 hours of becoming aware of the breach, in accordance with NDPA 2023 and GAID 2025 requirements. Where the breach is likely to result in a high risk to your rights, we will also notify you directly.

8. Third-Country Data Transfers

TEP Corporate Services processes and stores all client personal data within Nigeria. Where we use service providers that may process data outside Nigeria, we ensure appropriate safeguards are in place in accordance with the NDPA 2023 and GAID 2025 cross-border transfer provisions, including standard contractual clauses where applicable.

9. Changes to This Privacy Notice

We may update this Privacy Notice from time to time. The current version will always be available on our website. Material changes will be communicated to active clients by email. The date of the most recent revision is shown at the top of this document.
